Privacy Policy

Effective date: August 13, 2026

Vela ("Vela," "we," "us," or "our") provides a lead-nurture and scoring platform that helps Canadian service businesses ("Customers," "you," when you hold an account) capture, score, and automatically follow up with their own inbound leads. This Policy explains what personal information we collect, how we use it, and the choices available to you.

Vela is used in two different ways, and this Policy addresses both: as a Customer who signs up for and manages a Vela account, and as a Contact (a lead) whose information a Customer has entered into Vela in order to follow up with you. If you are a Contact and want your information removed, please contact the business you interacted with directly, or use the unsubscribe link included in any message you received.

1. Information We Collect

From Customers (account holders): name, business name, email address, phone number, billing information (processed by Stripe — Vela does not store full card numbers), and integration credentials you provide (e.g. SendGrid, Twilio, HubSpot API keys) so the platform can send messages on your behalf.

From Contacts (leads): name, email address, phone number, and any information submitted through a Customer's lead-capture form, imported list, or connected ad platform (e.g. Facebook/Google Lead Ads). We also record behavioural data — email opens, link clicks, form submissions, page visits, and SMS replies — to calculate an engagement score.

Automatically collected: IP address, browser/device information, and standard web/email tracking pixels used for analytics and open/click tracking.

2. How We Use Information

We do not sell personal information.

3. Legal Basis & CASL Compliance

Vela is built to support compliance with Canada's Anti-Spam Legislation (CASL): every automated email includes a working unsubscribe link processed immediately, SMS messages support "Reply STOP," and consent timestamps are recorded when a Contact is created. Customers, not Vela, are responsible for ensuring they have valid consent (express or implied) before entering or importing a Contact's information. Vela's automated sequences are intended for Customers' own inbound, consented leads — not for unsolicited outreach to cold-sourced lists.

4. Third Parties We Share Information With (Subprocessors)

We use the following service providers to operate Vela. Each processes personal information only as needed to provide their service to us:

5. Data Retention

We retain Customer account data for as long as the account is active, plus a reasonable period afterward for legal, billing, and backup purposes. Contact (lead) data is retained for as long as the Customer's account is active or until the Customer deletes it, an unsubscribe/STOP request is processed, or removal is requested directly.

6. Your Rights

Subject to applicable law (including Canada's PIPEDA), you may request access to, correction of, or deletion of your personal information. Customers can manage most Contact data directly within the Vela dashboard. To make a request, email jack@velaleads.ca.

7. Security

We use industry-standard safeguards — encrypted connections (TLS), hashed passwords, and rate-limited, authenticated API access — to protect personal information. No system is 100% secure, and we cannot guarantee absolute security.

8. Changes to This Policy

We may update this Policy from time to time. Material changes will be posted on this page with an updated effective date.
